We are seeking an Executive Administrative Assistant to perform office administration for the Precision Strike Mission Area (PSMA) Executive (MAE) and Deputy MAE in the Force Projection Sector (FPS). As a member of our team, you'll contribute to the Sector's success by providing operational services to the Mission Area. We are passionate about our administrative support team and with your help, we will remain a go-to partner for the Sector. As the Precision Strike Mission Area Executive Assistant you will: Your primary responsibility will be to provide administrative support to the Mission Area Executive (MAE), the Deputy MAE, as well as the KPO Group Staff, as needed. Develop a thorough knowledge and understanding of the Mission Area (including types of work, unique needs, culture, skillsets) and recommend initiatives that align with and further the Mission Area and Sector goals. Lead the development and implementation of processes and tools to maximize the efficiency of the PSMA leadership team. Proactively maintain the MAE and Deputy MAE's calendars, action items lists for data calls from Sector and APL Director's Office, travel requirements (domestic and foreign reservations, expense reimbursement), engagement tracker, and manage the flow of people and information through the MA office. Provide day-to-day leadership for a highly capable team of PSMA office administrators and the Administrative Assistant to the PSMA Chief Scientist & ISR&T Program Area to facilitate common practices and seamless administrative support across the Mission Area. Deliver mission area administrative support training and onboarding as well as mentorship to less experienced administrative staff. Provide backup administrative support for other Force Projection Sector Executive Administrators. Communicate effectively within the Sector, other parts of the Laboratory, and with external sponsors. Coordinate sponsor visits by managing meeting logistics and security, preparing agendas, and ensuring briefing materials are available. Organize information from diverse sources into official correspondence such as, executive briefings, letters of justification, status reports, nomination and appointment letters, certifications, and Mission Area memorandums. Facilitate, monitor, and maintain administrative cognizance over a variety of mission area related functions to include serving as Group Security Rep, Group Property Associate, Group Telephone Rep, and Food/Beverage Discretionary spending. Coordinate with Program staff to provide seamless assistance to Mission Area activities to include scheduling of Program Management Reviews (PMRs) and, in cooperation with the PSMA Administrative Assistant to the PSMA Chief Scientist, Independent Research and Development (IRAD) Reviews. Manage agenda of Mission Area meetings, collecting presentation materials and making them available at meetings. Coordinate Mission Area offsite meetings by arranging logistics, planning the agenda, participating in the event, facilitating smooth execution, and capturing action items and subsequent follow-up. Qualifications You meet our minimum qualifications for the job if you have... An Associate's degree or equivalent level of experience with a minimum of 5 years of relevant administrative experience. Proven ability to identify and resolve administrative issues independently and collaboratively through the use of internal and external resources. Initiative and persistence in pursuing administrative needs, meeting quick turnaround demands, and resolving problems with a sense of urgency and demonstrated capability to anticipate, prioritize and expedite numerous tasks from multiple sources. Decorum commensurate with executive level engagement and demonstrated ability to interact with all levels of staff and visitors with discretion and tact, and discretion in handling sensitive personnel and organizational information; The ability to lead informally. Demonstrated critical thinking and conflict resolution skills. Excellent interpersonal, communication (written and verbal), and organizational skills. Demonstrated advanced proficiency in use of applications including Microsoft Outlook, Word, PowerPoint, and Excel. Are able to obtain Top Secret level security clearance. Have a Bachelor's degree in Business, Economics or other related discipline, with 10+ years of administrative experience in DoD program support, including administrative support to Program and Program Area Managers.
